Privacy notice
How we handle information submitted through this website during the Stage 1 community proposal. This is a plain-language summary; it is not a legal opinion.

What this site collects
This site has several forms that collect information from you:
- The Expression of Interest (EOI) form on the homepage and the longer form at /express-interest/ — name (optional), contact details, an interest-level radio, optional skills, availability, and consent checkboxes.
- The Contact form at /contact — name, email, enquiry type, and free-text message.
- The Community survey at /community-survey — optional name and email plus survey responses and age group.
- The Financial survey at /pledge/ and /financial-survey — contact details, funding preferences, meeting preferences, and open-text comments.
- The Mailing list signup on the homepage — email address, optional name, and consent to receive updates.
The site also uses Google Analytics on public pages to count visits in aggregate. Cloudflare may log standard request metadata (IP, user agent, request path) for operational and security purposes.
Why we collect it
We collect information to:
- Communicate with you about this Stage 1 community proposal — replying to enquiries, sending updates if you’ve consented, and gauging interest in the broader community.
- Route contact enquiries to the right person in the working group with automated triage.
- Track open enquiries so nothing falls through the cracks.
- Store survey responses so we can understand what people want from the project.
- Manage the mailing list and send project updates to people who have asked for them.
Third parties involved
When you submit a form, your information passes through the following services:
- Cloudflare — hosts the site, stores submissions in Cloudflare D1, and delivers site email through Cloudflare Email Workers.
- Anthropic (Claude) — contact-form messages are sent to Anthropic’s Claude API for automated triage (classifying the enquiry type and drafting a suggested reply). EOI, survey, and mailing-list submissions are not sent to Anthropic.
- GitHub Issues — contact-form enquiries are logged as issues in the project’s GitHub repository (currently
adrianwedd/bottom.pub) so the working group can track and respond to them. The issue body includes the message you sent. - Google Analytics — page-view analytics on public pages, in aggregate. We do not pass form submissions to Google Analytics.
We do not sell, rent, or share contact details with marketing partners or any third party outside the operational chain above.
How long we keep it
EOI, contact-form, survey, and mailing-list submissions are kept for the duration of Stage 1 and any subsequent stages of this proposal, unless you ask us to remove your data sooner. If a co-operative is later formally registered, you will be told how (or whether) your data is transferred to that entity, and given a chance to opt out before any transfer happens where that is practical. If the proposal is abandoned, submissions will be deleted within a reasonable time.
Your choices
- You can submit an EOI anonymously — name and contact method are optional.
- You can leave the survey forms partially or fully blank where the form allows it.
- You can ask us to remove your data at any time by emailing the contact address on /contact. We will action removal requests within a reasonable period.
- You can ask us what data we hold about you by emailing the same address.
- You can withdraw consent for further contact at any time. Withdrawing consent does not remove records of past interactions if those records are needed for our own working-group accountability.
Security
The site enforces a strict Content Security Policy and HTTPS everywhere. The admin and members areas are protected by Cloudflare Access. None of this is a substitute for caution: please do not include sensitive personal information (medical, financial, identifying third parties) in form submissions.
Legal framing
This proposal is at Stage 1: gauging interest. No co-operative entity yet exists. This privacy notice is a commitment by the current working group about how the site’s data is handled today; if a legal entity is later formed and the data is transferred to it, that entity will be subject to applicable Australian privacy law (the Privacy Act 1988 (Cth) and the Australian Privacy Principles, where relevant). This notice is not a legal advice document and is not a substitute for the privacy policy that any later legal entity would publish.
